Overview

The Manager, Clinical Operations is responsible for the day-to-day operational, clinical, and administrative performance of assigned clinics and/or specialty services across a defined region, which may include oversight of multiple specialties, services, and locations. This role ensures efficient practice operations, continuity of care, effective staff management, and compliance with internal and external regulatory requirements, while driving ongoing operational improvements in a collaborative team environment.  The Manager supports care delivery across the continuum, including primary care, specialty care, urgent care, and, as applicable, hospital-based services. This position provides direct oversight of clinical and non-clinical staff, ensuring safe, efficient, and high-quality patient care while supporting operational, financial, and strategic objectives. The Manager partners closely with Directors, physicians, APPs, and system leaders to optimize workflows, enhance patient experience, and drive performance outcomes across multiple sites.

Qualifications

Education:

  • Bachelor’s degree in clinical or health science field preferred

Licensure/Certification/Registry:

  • Valid State of Illinois license to practice as a professional nurse (e.g., LPN, RN, etc.) or clinical specialty (e.g., LCSW, LCPC, etc.) required.
  • Maintains state regulated CME
  • CPR certification preferred

Experience:

  • Minimum 3–5 years of direct patient care in an ambulatory setting required.
  • Minimum 2–5 years of supervisory or leadership experience. Computer experience required and previous experience with scheduling and/or billing software preferred.
  • Experience in multi-site, specialty, or hospital-based operations preferred

Other Knowledge/Skills/Abilities:

  • Demonstrates the ability to present ideas clearly and confidently, with strong communication skills and the ability to engage effectively with patients, physicians, and colleagues in a variety of situations. Possesses strong analytical and problem-solving abilities, with the capability to work independently while also collaborating effectively within a team environment to achieve organizational goals.
  • Maintains a strong working knowledge of healthcare operations, including Medicare, Medicaid, and insurance regulations, as well as evidence-based medicine, chronic disease management, patient engagement, and factors impacting health such as health literacy and psychosocial considerations.
  • Proficient in the use of Electronic Health Records and business systems, with advanced computer skills including Microsoft Office applications (Word, Excel, Outlook, and PowerPoint), practice management systems, and other business management tools. Demonstrates experience with budgeting, project leadership, and operational management.
  • Exhibits excellent organizational and process management skills, with a high level of accountability and dependability. Able to manage multiple priorities, drive practice goals and objectives, and support continuous improvement initiatives in a fast-paced healthcare environment.

Responsibilities

  1. Manages day-to-day operations of assigned clinics and/or specialty services by ensuring efficient workflows, overseeing staffing, scheduling, and payroll, maintaining appropriate staffing levels through development and implementation of staffing matrices, and ensuring clinic readiness including supplies, equipment, and facility operations in collaboration with Facilities to maintain a safe, clean, and functional environment.

 

  1. Ensures delivery of safe, evidence-based, high-quality patient care by monitoring clinical performance metrics, leading quality improvement initiatives, and proactively identifying opportunities to improve patient flow, safety, quality, and overall patient experience, including managing service recovery as needed.

 

  1. Provides leadership and development for clinical and non-clinical staff by partnering with Human Resources on recruitment, interviewing, hiring, onboarding, and orientation; conducting performance evaluations; establishing annual goals; ensuring accountability; addressing performance concerns; and fostering a positive, team-oriented, and productive work environment.

 

  1. Collaborates with physicians and advanced practice providers by maintaining strong working relationships, supporting provider productivity and workflow optimization, facilitating communication across teams, and assisting with onboarding and credentialing processes, including hospital-based requirements.

 

  1. Supports financial and business operations by assisting in achieving clinic financial goals, monitoring budgets and expenses, overseeing billing and revenue cycle processes, managing purchase requisitions and supply inventory to maintain appropriate par levels, and providing financial and operational reporting as needed.

 

  1. Ensures compliance with regulatory and organizational standards by monitoring adherence to coding, documentation, and billing requirements, maintaining audit readiness, and promoting a culture of safety, compliance, and risk management.

 

  1. Supports care coordination across the continuum by facilitating collaboration between clinics, urgent care, and hospital services, assisting with patient transitions and follow-up care, partnering with hospital departments, and supporting development of clinical protocols and care pathways.

 

  1. Drives operational improvement by identifying inefficiencies, implementing process improvements, supporting projects across clinics and service lines, assisting with new workflows and technology implementation, and monitoring outcomes to enhance performance.

 

  1. Promotes a positive patient and colleague experience by monitoring satisfaction data, addressing concerns, resolving conflicts among colleagues, implementing service recovery strategies, and engaging staff in delivering patient-centered care.

 

  1. Provides oversight of technology and systems by supporting optimization of Electronic Health Record workflows, assisting staff and providers with system utilization, identifying opportunities for improved data capture, and collaborating with IT and informatics teams on enhancements.

 

  1. Supports administrative and operational functions by assisting leadership with budget development, strategic planning, and growth initiatives, coordinating meetings and communications, approving payroll and monitoring time off (including PTO and FMLA), collaborating with system departments, and participating in staff, provider, and leadership meetings.

 

  1. Regular travel among sites of care throughout assigned Springfield, Decatur, and Jacksonville to oversee the daily operations of each specialty area.

 

  1. Perform other related work as required or requested.
