Overview

The Manager of Central Intake will have responsibility, authority and accountability for all intake functions for Memorial Home Medical Supply customers.  The incumbent assures the workflow and care of customers is in accordance with Memorial Home Medical Supply policies, procedures and standards of care.   This position provides administrative oversight and coordination with the functions of customer service, medical documentation review, insurance authorization, and other teams that are involved with ensuring all payer requirements are met for sending claims.   This role will also have direct oversight of the retail functions for Memorial Home Medical Supply.   Coordination of services with physicians, referring hospital and facility discharges and other ambulatory services is imperative.  Embodies the Memorial Health System Performance Excellence Standards of Safety, Courtesy, Quality, and Efficiency that support our mission, vision and values.

Qualifications

Education:

  • Bachelor’s Degree in a health or business-related field.

Experience:

  • Minimum of two years’ leadership/management experience required, preferably in home medical equipment business line.

Other Knowledge/Skills/Abilities:

  • Familiarization and understanding with Federal, state, and commercial insurance plans preferred
  • Demonstrates excellent interpersonal, leadership and training skills.
  • Demonstrated problem-solving skills and exceptional skills in both verbal and written communications.
  • Strong organizational skills, including ability to manage multiple projects at once.
  • Possess analytical skills and ability to initiate new ideas and processes.
  • Basic personal computer experience, including proficiency with Microsoft Office products and ability to learn and troubleshoot web-based platforms for business needs.

  1. Must be capable of working effectively with diverse groups (Physicians, RN’s, Case Managers, Patients) in solving complex home medical equipment needs.

 

  1. Manage the day-to-day operations of the Central Intake and Retail service line. Prioritize work based on colleague availability.

 

  1. Coordinate with the Director to develop and review department policies and procedures meeting the Joint Commission standards and CMS Supplier Standards for durable medical equipment.

 

  1. Implements, manages, and monitors the Operations Quality Initiatives, working with Memorial Health System Safety and Quality designee along with Risk Management.

 

  1. Assumes accountability for interviewing, selection, and retention of colleagues.

 

  1. Conducts department meetings and huddles to facilitate communication, review, and assessment to set goals to address department issues. Maintains minutes of the meetings.

 

  1. Accountable for colleague performance feedback, monitoring, and performance appraisals. Initiates formal accountability plans and actions per Memorial Health Policy.

 

  1. Participates in, and supports, orientation and cross-training for colleagues.

 

  1. Develops the annual budget for areas of responsibility and monitors performance throughout the year.

 

  1. Works closely with internal and external department to ensure coordination of services. Advances the goals of the health system with the Director and other managers.

 

  1. Creates an environment to promote colleague growth and satisfaction.

 

  1. Promotes customer satisfaction and assists the Director to develop improvement plans as needed.

 

  1. Works to improve workflow processes.

 

  1. Assist with in review of medical documentation to support the need for requested equipment and supplies to meet payer requirements.

 

  1. Provide Administrator On-Call support for Memorial Health Medical Supply on a rotating basis.

 

  1. Performs all other duties as assigned.
