Overview

The Epic Training Coordinator is a key role responsible for supporting the go-live and long-term training operations that ensure staff and clinical providers are fully prepared to use the Epic system effectively. This position oversees the logistics, scheduling, and delivery of Epic education across the organization, including new-hire training, system upgrades, optimization initiatives, and annual competency refreshers. The coordinator partners closely with education teams, operational leaders, and credentialed trainers to maintain current training materials, monitor end-user proficiency, and support sustained adoption and utilization of the Epic system. This role ensures that training programs remain aligned with evolving operational needs and system enhancements, enabling continuous improvement in user experience, clinical efficiency, and organizational performance.

 

Please note this position is onsite 3-5 days per week in Springfield, IL. We are happy to offer some hybrid/ remote flexibility during certain times of the year.

Hours: 8am - 4:30pm Mon - Fri

Qualifications

Minimum Qualifications:
Education:
• Associates degree required
• Bachelor of Arts or Sciences preferred 

 

Licensure/Certification/Registry:
• Epic certification preferred

 

Experience:
• Minimum of 2 years' experience in administrative coordination
• Hospital, IT, or school, social service background and / or experience with education or information technology programs
• Management of aligned communications
• Educational resource support


Other Knowledge/Skills/Abilities:
• Excellent interpersonal and communication skills
• Microsoft Office Suite mastery, especially Excel
• Ability to coordinate day to day operations of a fast-paced IT educational environment
• Experience with project management, marketing and communications preferred
• Existing knowledge of organizational culture, personnel, and processes

 

Responsibilities


Principal Duties & Responsibilities:

1. Coordinate all logistics required for Epic training, including scheduling classes, managing rosters, room assignments, equipment needs, and virtual learning setup.
2. Maintain the training calendar and ensure appropriate class capacity to meet organizational demand.
3. Support management of training environments, user access requests, and classroom readiness.
4. Oversee distribution of training materials, quick guides, and other end-user resources.

5. Assist Training Leads and Credentialed Trainers with organization and version control of training materials, eLearnings, job aids, and build-dependent updates.

 

Additional Responsibilites:

1. Coaches and develops colleagues to their fullest potential, providing educational and developmental opportunities as needed. Equips colleagues to fully utilize the time, talent, technology, and resources available to them to ensure maximum effectiveness and efficiency. Annually evaluates the performance of colleagues. Develop and implement succession plans for team.

2. Actively participates as a contributing member of the MH System Leadership Team. Develop and enhance strategic partnerships with various external individuals and groups. Develop and enhance relationships with internal and external stakeholders, including but not limited to, universities, schools systems, government entities and key business partners.

3. Responsible for coordinating development of annual strategic and operational planning. Serve as a resource person on committees, task forces, meetings and activities to assist MH achievement of strategic objectives. Accountable for the achievement of MH annual goals and tactics.

4. Provides leadership for creating the organizational infrastructure necessary to build staff knowledge, skills and behaviors to help meet current and future demands, and support the strategies and business goals of the health system.

5. Provide strategic direction for the organization's aspiration to be the health system people chose over all others. Seek out and drive "best practices" throughout the Health System. Monitor quality and effectiveness of these processes.

6. Effectively manages large and small-scale projects. Exercises good project management discipline and rigor in managing tasks, deliverables and needed resources. Completes projects within prescribed timeline and budget. Ensures all scope changes are evaluated, communicated and approved by the appropriate parties prior to implementation. Evaluates implementations and makes adjustments accordingly.

7. Build trust and foster collaboration and communication with the medical staff. Meets regularly with staff to encourage open communication, request input and provide feedback.

8. Evaluates effectiveness of offerings and services and makes adjustments accordingly. Reports and analyzes metrics in order to understand utilization, impact and improvement opportunities.

9. Provides strategic direction for our corporate compliance program, in alignment with MH program. Supports the General Counsel and Vice President, Internal Audit and Compliance by providing direct access to the Board of Directors in matters relating to corporate compliance.

10. Ensure compliance with all regulatory agencies governing health care delivery and the rules of accrediting bodies by continually monitoring all operations, programs and physical properties; initiates changes when required.

11. Provides guidance to ensure that MH provides the highest quality, most cost effective healthcare possible, and that operations are in compliance with the Joint Commission guidelines as well as federal, state and local laws and regulations.

12. Participate in community outreach and networking programs. Participates in local civic organizations, clubs and activities whose purpose may be in concert with, or benefit to, Memorial Health.

13. Maintains professional growth and development through continuing education, seminars, workshops and professional affiliations.

14. Performs other related work as required or requested.
