Overview

Responsible for coordinating and scheduling diagnostic imaging procedures across all imaging modalities, including Interventional Radiology and the Neuro Intervention Radiology clinic. Serve as the scheduling liaison for outpatient providers’ clinical exam requests. Collect patient demographic and insurance information, clinical indications, provider requests, and interprets correct exam type to achieve desired clinical information on examination. To include collection, interpretation, and documentation of clinical indications for outpatient scheduling requests. Develops a comprehensive understanding of all outpatient imaging services provided. Perform administrative tasks for smooth operation of the office functions while performing various clinical call center communications with Imaging modalities and provider offices.  Embodies the Memorial Health Values of Safety, Integrity, Quality, and Stewardship that support our mission and vision.

Qualifications

Education:

  • High school education required.
  • Course work in medical terminology and anatomy preferred.

Experience:

  • Minimum of one year relevant healthcare/clinical experience preferred.
  • Minimum of one year experience as a Medical Imaging Scheduler or equivalent preferred.
  • Telephone customer service experience.
  • Experience with personal computer applications and electronic health records preferred.

Responsibilities

  1. Able to select the appropriate test or procedure from an extensive departmental menu and maintains open communication with department medical staff and clinical colleagues to evaluate and identify appropriate outpatient imaging service requested, including a variety of diagnostic tests, surgeries, consultations and procedures within multiple computer systems/programs
  1. Obtain comprehensive clinical and demographic history to document necessary information into the electronic scheduling environment to ensure appropriate and safe clinical care is provided at the time of service. Schedule procedures via phone (answering inbound calls or initiating outbound calls), using electronic health record systems and task lists, or through electronic forms submitted by internal or referring provider offices.
  2. Collect required demographic and clinical information/documents and history associated with patient appointments and translates appointment requirements to the providers’ offices for informing the patient of instructions and preparation for the examination.
  3. Work independently, as well as be part of the team, including accomplishing multiple tasks in an environment with interruptions and challenging personal interactions.
  4. Review and make changes in the schedules to achieve efficient use of resources and analyze and resolve scheduling problems. Participate in process improvement activities to update and improve the scheduling process and training materials.
  5. Ensure correct physician orders for diagnostic procedures are submitted and entered into the electronic health record prior to the scheduled date of service.
  6. Able to schedule complex exams coordinating and booking available resources including selection of correct diagnostic modality and exam suite, specialty radiologist, department technologists, nursing resources, other clinical resources such as anesthesia or equipment, and selection of the correct length of time for the appointment.
  7. Develops the skill set to be the subject matter expert (SME) in at least two Imaging modalities achieving independent proficiency 80% or higher.
  8. Establish and maintain excellent guest relations rapport with patients, referring providers and their support staff, and
  9. Perform other related work as required or requested.
